Basics

Xsilva LightSpeed's comprehensive Product and Customer windows store all of the vital details in clean, clearly laid out screens. The Product window allows you to set up products and services with photos that can be captured with an iSight camera, a cost-averaged multi-warehouse inventory with full history, pricing levels, GL accounts and serial numbers if applicable. It also allows you to link a product with the related accessories you might want to have sold with it, perfect for reminding your sales reps how to upsell with a particular item.

The Customer window lets you track everything about a customer, and can store multiple phone numbers, addresses, and contacts, as well as track calls and notes. You can also capture customer photos with an iSight camera.

Action menus in the Customer window let you schedule a customer in iCal, print mailing labels, send emails, map their address on Google Maps, initiate a Quote, Order or Invoice, or phone them on Skype or the WebFones PBX VoIP phone system, all with a single click.

Marketing activities like mass mailings and mailing label printing are facilitated by innovative categorization tools like Customer Groups and powerful search tools like the Advanced Customer Find and Customer Browser that take full advantage of LightSpeed's robust SQL database.

Quotes and Invoices are the heart of Xsilva LightSpeed, powered by lightning fast SQL searches and a streamlined interface. Sales reps can create professional-looking quotes and invoices literally in seconds, which can then be printed with ease across several pages, with wrapping product descriptions, notes and full-color images of your products.

LightSpeed's Quote and Invoice are the ultimate sales tool for accelerating your small business. As reps are building their Quote or Invoice, they have instant and complete knowledge of the inventory levels of the Product being sold. A Quote can be converted to an Invoice or submitted to Purchasing as an Order, all with the click of a button.

LightSpeed features an all-new 'floating' Point of Sale interface that truly harnesses the power of Mac OS X and showcases its advanced Quartz graphics subsystem. Its the first POS to integrate the iSight camera right into the POS window to capture images of Products and Customers in real-time. And its also the first POS on OS X to operate in the context of a full multi-user sales workflow, powered by a high-performance SQL database.

LightSpeed POS is designed for high-speed scanner-driven front counter retail checkout. Its high-contrast, high-fidelity POS interface utilizes translucent OS X overlay displays to present information and images in side panels that reduce errors and fraud by helping a cashier quickly verify Products and Customers without distracting attention from the sales register.

Built-in iSight camera support enables real-time capture of Product and Customer photos right from within the POS. The Station and POS Setup panels allow you to customize the POS interface with your company logo, set default POS preferences and configure POS hardware easily per station.

Built-in support for credit card processing on Authorize.net, HPS POS Gateway, and VeriSign in the Invoice and POS screens as well as support for card swipes guarantees a seamless and quick purchasing experience for your customers.

Deposits can be taken on Quotes/Orders/SROs and applied later as credits to Invoices.

LightSpeed's Gift Card system is both versatile and easy-to-use. Retailers can choose to use pre-printed gift certificates or gift cards with magnetic stripes or barcodes. LightSpeed can also generate and print barcode labels that can be affixed to gift certificates or gift cards.

Lightspeed also includes a service repair order, or SRO, that can book in Products that need repair and document repair progress. The LightSpeed SRO can also perform Apple GSX Warranty Lookups and Parts Lookups when used in an Apple Reseller environment.

All of Lightspeed's sales tools come together in the Browser, where advanced multi-threaded searches can be performed across your entire LightSpeed database. The command center of the Browser is the customizable Tracker, which gives your reps a dynamic list of every customer or document that requires action.

Purchasing

Xsilva LightSpeed's integrated Purchasing is tied right into your sales workflow, so that order requests from your sales reps can be easily and efficiently organized and purchased on POs. The Requests tab shows a chronological view of order requests that can be filtered by several criteria, including default supplier, and then converted to a PO with a single-click or by using drag and drop. The Actions tab groups order requests intelligently so that popular purchasing actions can be accomplished with one-click.

LightSpeed tracks your inventory from the point at which you receive product to the point at which its invoiced, and keeps a detailed inventory history of all changes and adjustments. It can track serial numbers and has tools to build inventory out of other inventory, ideal for any business that builds products to order or does light manufacturing.

Reservations
An easy to use Inventory Reservation system allows a salesperson to reserve inventory on an Order for a customer. When the salesperson goes to invoice the Order, a dialog box allows the user to release the inventory so that it can be invoiced.

Multiple Warehouses
Inventory and Serial Numbers can be transferred using the Transfer Inventory tool into one of 10 inventory warehouses, which can be named in the Warehouses Setup panel. Status bubbles in Browser, Product window and sales documents show amount of inventory stored in warehouses. Useful for stock rooms, demo pools, RMAs.

Build and Break Apart
The Build Inventory tool enables you to do light manufacturing of Products by allowing you to pre-define a recipe for the built Product and build finished Products where inventory levels allow. You can even add variable Products that factor into your costs, such as labor or bottling materials, at the time of manufacture on the Build Inventory window.

The Break Apart Inventory tool lets you break a Product into constituent related Products, such as a pack of 10 DVDs into 10 individual DVDs, all while keeping your cost data accurate.

Print a wide variety of labels with barcodes for your inventory on a DYMO LabelWriter or on label sheets.

Lives Rules can be saved in the Set Selling Prices and Set Product Info tools, and are run automatically whenever a Product is saved if the Product's attributes match the criteria of the Live Rule. This is an efficient and automated way to maintain selling prices, product descriptors like families and classes, and GL accounts in your Product database.

LightSpeed has a Size/Color Matrix in its Product window for clothing and apparel-based businesses which lets these business owners create Product records and adjust inventory levels in a convenient grid format.

LightSpeed's extensive support for products with serial numbers includes a Serial Number History tool which can instantly find where a Serial Number has been referenced across all Invoices, POs, SROs and Inventory History records. It can even perform a GSX Lookup when GSX is configured in an Apple Reseller environment.

Timesheets

LightSpeed's Jobs and Timesheets lets you track employee hours and lets you find out how much time your staff is spending on projects and tasks. This can be a crucial tool to determine billing for your customers, and even allows you to convert Jobs to Invoices, summarizing hours at your staff's billable rates and tasks performed. Your time is money!

Reporting

The Reporting window features over 220 fully-filterable reports in over a dozen categories, including Sales, Payments and Inventory. All reports can be exported to Excel or PDF format and favorite reporting options can be saved as presets. Two styles of programmable Commission Reports are also offered.

The End of Day Report is a daily summary of all sales and payments that occurred at a given POS station, providing an easy way for retail staff to cash out at the end of the day.

LightSpeed's Intelligence feature harnesses the power of OpenBase SQL to give you instant intelligence on your sales data. Instantly find your top and bottom Products, Customers, Quotes and Invoices, by revenue, profit or margin. Intelligence also offers instant printable graphs to view visual representations of your sales trends.

Administration

With over 35 Setup panels and nearly 100 custom fields, LightSpeed can be configured to operate in almost any small business. Printed documents like Quotes, Orders, Invoices, SROs and POs can be customized by entering your company info and logo or by dropping in a PDF version of your company letterhead.

LightSpeed features an advanced yet easy to use Privilege system so that business owners can set access levels or require authorization for over 140 different privileges in LightSpeed.

LightSpeed offers powerful migration and import tools for Products, Customers, Customer Contacts, Suppliers, Invoices and POs in a specially optimized separate application called LightSpeed Import Tools. Import presets can be saved so that import files can be processed on a regular basis quickly and easily.

LightSpeed's Accounts Receivable window allows the management of your customer accounts, with the ability to view receivables, apply payments and print statements. Accounting-related reports are also available from the Reporting window, including reports for Aging, Customer Balances, Inventory Valuation and more.

LightSpeed can print customer statements or outstanding invoices by batch, reducing the time and effort it takes you to follow up on overdue accounts.

LightSpeed can import a Chart of Accounts from MYOB AccountEdge 2005/2006 or Quickbooks Pro 2005/2006 for Mac. GL Accounts can then be assigned to Products, Taxes and Payment Methods, enabling LightSpeed to export your Sales, Payments and Purchases transactions as journal entries to these popular Mac accounting packages.

Exportable Sales, Payment and Tax reports are also available from LightSpeed's Reporting window.

We chose OpenBase SQL 10 to be the foundation for LightSpeed for its rock-solid reliability and powerful SQL technology, because Xsilva believes that every small business owner should have an industrial strength SQL database to power their growing operations.

LightSpeed was designed from the ground up to be a multi-user system and serve the needs of an entire sales team. LightSpeed is targetted at groups of 1 to 25 users, but is architecturally capable of serving hundreds of users.

LightSpeed's polished, OS X user interface was designed to be responsive, easy to learn and easy to understand. We have designed the interface to be consistent, so that users feel familiar and comfortable even when learning new parts of the program.
